Terms and Conditions

General

  1. On completion of booking You hereby agree to these Terms and Conditions and the party leader confirms that he/she is so authorised and that all party members have agreed to be bound by these Terms and Conditions. 
  2. We may revise these Terms and Conditions from time to time in response to changes in relevant laws and other regulatory requirements. If We change these Terms and Conditions as they relate to Your order to any material degree, We will give You reasonable notice of the changes by posting the updated terms on Our website.
  3. Ground Level reserve the rights to cancel or amend bookings, all tickets are subject to availability.

Use of your data

  1. Ground Level Ministry Team (The organisation that hosts Awaken) is notified (registered) as a data controller under the UK General Data Protection Regulation (UK GDPR), tailored by the Data Protection Act 2018. The UK GDPR puts obligations on controllers and processors of personal information and lays down principles for its use.
  2. Information has to be processed fairly and lawfully. This means you are entitled to know how we intend to use any information you provide. We will use the personal information that you provide to process your booking and book your tickets for Awaken. A full copy of our privacy policy can be found here.
  3. You must inform other members in your party of the information about them that you are providing to us, and what we will use it for. For the purposes of data protection you, the lead guest, are acting as the representative of all members of your party. 
  4. You may choose to provide us with information about your health or the health of members in your party so we can assist you with any disability needs. This information will only be used for the purpose(s) for which you provide it to us. 
  5. Ground Level can only discuss or amend a booking with the lead guest. They will correspond in all matters relating to the booking or group with the lead guest who acts as representative for all members of the group. 
  6. Ground Level will also use your information to communicate with you directly in relation to the upcoming Awaken event as well as any future events and services brought to you by Ground Level. If you do not wish to receive such information please contact us

Bookings & Payment

  1. All bookings, not part of the Ground Level part-payment scheme, must supply full payment with their booking. Payment can be made by cheque, made payable to “GROUND LEVEL”, or via Credit/Debit Card using the payment details page of the booking form or our website. Cash Payments are not permitted. 
  2. The Spread the payment scheme will allow booking fees to be split over a maximum of ten payments, these payments will be taken on the 1st of every month, for the allotted time period in months following your booking. Should you default on a payment two further attempts will be made to take payment over a period of ten days or your booking will be canceled. During this time you should inform us if your payment details have changed. 
  3. Tickets will be issued upon receipt of full payment for your order.
  4. Tickets will be sent out at the end of July, please contact us if you have not received your tickets 2 weeks before the event.
  5. We would advise taking out your own holiday and/or travel insurance to protect yourself in case you need to cancel your booking.

Concession Tickets

  1. Individuals 65 and over, students in full time education, and unemployed all qualify for the concession rate. 
  2. You should provide suitable confirmation of status or a letter from their church leader/group organiser to qualify for reductions.

Children

  1. All Children must be booked in with a Parent/Guardian over 18 years of age. 
  2. It is the responsibility of this parent/guardian to supervise their child at all times unless they are registered into a Childrens or Youth session and placed in our care. A separate registration form should be completed prior to bringing your child to the venue.
  3. Children under 5 attend free of charge. 
  4. All children must be within the same immediate family to qualify for Family Ticket reductions, young people 18 or over, Children’s friends, wider family or youth group members do not qualify for family tickets. 
  5. Ages will be calculated as at 22nd August 2025. Please ensure you provide dates of birth upon booking.

Refunds & Cancellations

  1. Cancellations are subject to a 7 day “cooling period” where 100% Refund is available, this applies only to tickets purchased before 31st July 2025. After 7 Days the following structure will apply to cancellations: 
  2. Before 1st July 2025 - 25% Cancellation Fee applies 

    Between 1st-31st July 2025 - 50% Cancellation Fee applies 

    After 31st July 2025 - No Refunds 

  3. Refunds may take up to 30 days to process.
  4. Spread the Payment Scheme cancellations are calculated based on the full order value, the handling fee for this scheme is non-refundable.
  5. Cancellations due to ill health or various other circumstances may be eligible for a full refund or reduced fees. Please state the circumstances along with the request for cancellation. These will be handled on a case-by case basis and the Event reserves the right to subject all cancellations to the fees stated above. Suitable proof of circumstances will be required in these instances. 
  6. All cancellations must be in writing either by email to info@awakenevent.uk or post to Ground Level, 22 Newland, Lincoln, LN1 1XD and include full details of booking.

    Substitutions

    1. Substitutions must be made like for like (I.e. adult for adult place) this must also be received in writing via email or post by the booking contact before 31st July.
    2. Substitutions will be subject to a £10 admin fee per ticket.

    Site Rules & Conduct

    1. All delegates must abide by our ‘Site Rules’ at all times. Breach of these instructions may result in your removal from the site. 
    2. A copy of the site rules will be issued to the booking contact at least 1 month prior to the event.

    Pitch Allocation

    1. Church groups will be sited together provided your booking is received before 31st July. You should ensure the same church/group name clearly appears on each booking. 
    2. Additional units must be booked before 31st July. 
    3. Any bookings received after this point may be sited in the Late Bookings area in a separate location to their Church Group.

    Camping

    1. No camping is included with your event ticket and this must be purchased separately. 
    2. No car spaces are included with camping units, if you wish to park your car with your camping unit you should purchase a car space add-on. 
    3. All other vehicles will be permitted onto their camping area to unload, after which they should move their vehicle to a designated parking area. 
    4. Please ensure you have accurately told us what accommodation you intend to bring, as this is the space you will be allocated. 
    5. All campers must follow camping instructions as detailed within our ‘Site Rules’ By booking into the Event you agree to adhere by these instructions at all times. Breach of these instructions may result in your removal from the site.
    6. A copy of the site rules will be issued to the booking contact at least 1 month prior to the event.

    Provision for Disabilities & Specific Requirements

    1. Our events are able to provide a number of provisions for those with disabilities or specific medical requirements. For more information on what we are able to provide please visit our website
    2. Please note provision will only be allocated based on a completed Provision Request Form. 
    3. The Event is based on an agricultural showground and is unable to provide commercial campsite facilities.
    4. Free of Charge Electric hook-up provision can only be provided for those with a genuine medical requirement - Please complete a provision request form via our website before 31st July.

    Site Facilities

    1. A range of catering venues/outlets will be trading onsite throughout the event. Various camping products are available to purchase on site. 
    2. Toilets and shower facilities are available on site. 
    3. The Event Info Point is able to provide cash withdrawal and phone charging facilities.

    Security

    1. Neither We nor the Venue accept responsibility for any personal property you bring with you to the Event.
    2. The site is surrounded by perimeter/safety fencing to maintain site safety. Please respect these fences and boundaries and ensure they are not climbed on or tampered with. 
    3. Bag checks are carried out on the day gate and spot bag checks may take place elsewhere around the site including within venues. Failure to comply with a bag check will result in you being denied entry or removed from the site. 
    4. The event uses a contracted security company for such checks and all officers have a current SIA license. 24hr Security Patrols and CCTV is also used on the site for everyone’s safety. 
    5. If you spot anything that concerns you while on site please report it immediately to the Event Office or a member of the Event Staff.

    Safeguarding

    1. We don’t knowingly allow anyone to attend Awaken who:
      • has an unspent conviction of any order indicating antisocial behaviour, violence, abuse, public disorder or criminal damage or any other form of antisocial behaviour;
      • is a convicted sex offender, subject to the notification requirements of the Sexual Offences Act 2003, or subject to a Sexual Risk Order or Child Abduction Notice.
    2. If you don’t disclose this information about yourself or any other member of your party, and it later becomes known to us, we reserve the right to cancel your booking and require that you, and the other members of your party, leave the event, without refund.
    3. If you, or a member of your party are subject to a covenant of care, safeguarding or behavioral agreement with your church or any other body that is not due to one of the above points, you should contact the Awaken Event Safeguarding Team by emailing safeguarding@awakenevent.uk before booking for the event. Due to the nature and context of the event, we reserve the right to decline entry to anyone who is deemed to pose a potential safeguarding risk.

    Pets

    1. No dogs (except guide dogs, therapy dogs by approval) or other animals will be allowed on site or in car parks. This applies to all Tickets.
    2. Therapy dogs will be allowed access to site after an initial process has taken place and you have received confirmation from the office. To apply for your Therapy dog to be granted access, please complete a via our website.

    Bikes, Scooters & Roller Blades

    1. Childrens bikes and scooters are permitted on site but should be ridden with care and consideration for those around them and under adult supervision. 
    2. Adult Bikes, Adult Scooters, Electric Scooters, Roller blades/Skates or skate boards are not allowed on site.

    Photography & Video

    1. There will be official photographers and videographers on site, delegates may feature in these images, which will be used for our promotional material, printed and electronic, including the website, video online and social media.
    2. Should you wish to not be included in these images please contact us prior to the event.

      Comments & Complaints

      1. We do everything we can to make your time with us enjoyable, however if you do wish to raise a comment or complaint please speak to the Info Desk team when you are at the event. They will try to resolve any issue you may be having and involve members of the Event Leadership Team if necessary. 
      2. If we are not able to resolve things while you are at the event, or to give any other feedback, please write to complaints@groundlevel.org.uk
